What is Academic Advising? 

The Academic Advisement module of PeopleSoft Student Administration v9 tracks the requirements and institutional policies that a student must satisfy in order to graduate. The Academic Advisement Report (iAAR) organizes all of the information in an easy to read format that is accessible by students, faculty, and staff. 

Who can generate the iAAR

Any campus staff person with a firstname.lastname login who has security to the Request Advisement Report page and the SREQR report. 

Can I print the iAAR

Yes. You can print the iAAR just as you would print any page from the web. Just click File > Print or CTRL+P.

Will students still have access to the old degree progress report/advisement transcript in their Student Center? 

No. The iAAR is the new Self-Service Student Center report. 

How is the iAAR different from the old degree progress report/advisement transcript?

The content is the same; however, the layout and functionality are different. iAAR functionality allows students to enroll  or plan classes directly from the degree requirements.

Will transfer credit appear on the iAAR? 

Yes. Transfer credit will appear like any other course as long as it has been evaluated. You can also see evaluated transfer credit displayed with a green arrow on the Course History page. Transfer credit is maintained by the Registrar's Office.

What should I do if I need help?

How can I access academic advisement in the PeopleSoft Student System? 

Login to the Student Center and click the My Academics link. The My Academics page is the gateway to academic advisement functionality. 

What can I do once I access the My Academics page?

You can view your academic records using the following links: View my advisement report (iAAR), Create a what-if scenario, View my course history, View my unofficial transcript, and Request Official Transcript. You can also see your Program and Major. 

How can I access the iAAR?

There are two ways to access the iAAR in your Student Center. Click the other academics dropdown and select the (iAAR) Academic Requirements link then click the double arrows. You’ll be taken to the My Academics page. 

OR 

Click the My Academics link then click the View my advisement report (iAAR) link on the My Academics page. 

Why do I see “The Academic Requirements (iAAR) page is not available.” when I try to view the iAAR? 

This message means that your iAAR has not been generated yet. You will need to schedule an appointment with a counselor or advisor to have it generated. 

How quickly will my iAAR be generated after seeing a counselor or advisor? 

The counselor or advisor can generate your report immediately. 

Why do I only see blue boxes on my report, but no classes? 

You may not have a valid program/plan. If your program/plan is incorrect or invalid, your iAAR will not generate or it will generate with incorrect information. You will need to see a counselor or advisor to have your program/plan verified and your iAAR generated.

Why didn’t my iAAR generate even though my program looks correct when I check it on the My Academics page? 

Your program/plan needs to be verified to ensure that it is a current program/cluster and that the requirement terms are correct. You will need to see a counselor or advisor to have your program/plan verified and your iAAR generated. 

Where can I go for help? 

You can access help links in your Student Center. 

I took courses at another college, but I don't see them here. Why? 

Your transfer work may not be evaluated or the transfer work does not apply to your degree. Transfer credit is maintained by the Registrar's Office.

How can I access my student’s iAAR? 

Login to the PeopleSoft Student System with your faculty W ID. Go to Self-Service > Advisor Center > My Advisees. Click the View Data for Other Students button. Enter your student’s ID. Click the Other Academics dropdown and select the (iAAR) Academic Requirements link. 

Why doesn’t my student have an iAAR? 

Your student’s program/plan probably needs to be updated. Your student may receive a message that The Academic Requirements Page is Not Available or they may receive an empty report showing only blue headers if his/her program/plan is incorrect. 

What should I do if my student doesn’t have an iAAR? 

Ask someone on your campus to generate the iAAR for your student. Anyone with a firstname.lastname user ID and valid security can generate the report. 

Should I contact IT if the iAAR content is incorrect? 

No. The course requirements, gpa requirements, specialization requirements, and other content are generated based on the setup that is entered into the PeopleSoft Student System. This setup is maintained by the District's Instructional department, not IT.

Why can’t I access this from home? 

You can access this from home as long as your computer is properly configured and running minimum requirements.

Will the iAAR be automatically generated for ALL students? 

No, the iAAR will only be generated for students in these 17 programs:

Why doesn’t my student have an iAAR? 

Your student’s program/plan may need to be updated. Your student may receive a message that “The Academic Requirements page is not available.” or he/she may receive an empty report showing only blue headers if the program/plan is incorrect. For example, if the requirement terms need to be updated or if the student is on an old program the report may not generate. 

** Remember, the old programs are not being generated. **

What are requirement terms and why are they important? 

The requirement term equates to the catalog year. Requirement terms are important because they determine what data is going to be displayed on the iAAR. For example, if the degree requirements have not been setup for a particular catalog year, the iAAR will not generate correctly. 

Where can I find the requirement terms? 

The requirement terms are on the program/plan page. There are three requirement terms: Career Requirement Term, Program Requirement Term, and Plan Requirement Term. You will need to verify all three terms in order for the iAAR to process correctly. 

What should I do if my student’s iAAR hasn’t been generated? 

You should attempt to generate it manually. 

How can I generate the iAAR for my student? 

Login to the PeopleSoft Student System with your firstname.lastname. Go to Academic Advisement > Student Advisement > Request Advisement Report. Click the Add a New Value tab. Enter your student’s ID and Report Type: SREQR. Click the Process Request button to generate the iAAR. Repeat the steps to run Report Type: SPLNR.

I do not see the SREQR or SPLNR values when I try to run the report? 

Your Advisement Report Security will need to be updated to include the SREQR and SPLNR report types. Contact the Help Desk at 713.718.8800 to submit a work order to have your Advisement Report Security updated. 

Why do I have to generate the SPLNR report? 

The SPLNR report is the report that powers the new My Requirements class search. If you do not generate this report, your student will receive a message that the “Search By My Requirements Page is not available.”  

Will I need to generate the SREQR and the SPLNR for every student? 

No. The nightly batch processes will pick up most students; however, the processes take a while to run because it processes hundreds of students in each run. You should generate the reports manually ifone has not been created for your student

Can I generate the SREQR and the SPLNR from my instructor account? 

No. These reports must be generated using your firstname.lastname account.

How can I verify that my student will be able to see iAAR after I generate? 

Login to the PeopleSoft Student System using your firstname.lastname login. Go to Campus Community > Student Services Center to access your student’s self-service Student Center. You should see the report when you click the Other Academics dropdown and select the (iAAR) Academic Requirements link.

Should I contact IT if the iAAR content is incorrect?
